Enable View Access - The Basics
Enable View Access is an optional feature available under Agency Admin → General tab that allows read-only access to program assignments and forms outside the permissions of navigators where access to those data points is limited.
If your organization has navigators assigned to a Role in which you wish they can view Programs, Forms, or both, but cannot interact with the data contained within, Enable View Access might be a valuable feature.
For example, Enabling View Access for a Substance Abuse Specialist could allow them to view all non-substance abuse programs and forms in client records, but deny them the ability to interact with the data.
To successfully enable View Access, Agency Admins must make additional updates in the applicable Role via Roles and Permissions.
Enable or Disable the View Access Feature
- Click Agency Admin from the system navigation bar
- General tab is selected
- Under Enable View Access:
- Select the check-box to enable the feature
- Deselect the check-box to disable the feature
- Scroll to the bottom of the page
- Click Save settings
Set Up View Access for Programs
The View Access Feature must be enabled
- Click Agency Admin from the system navigation bar
- Click Permissions
- From the list of tabs on the left, select which Role you wish to enable View Access for Programs
- Click the Programs toggle

- From the list of Available Programs on the left, click to select which you wish to Assign (grant full access to) for this Role
- Selected Programs will be moved under Assigned Programs and the Role will have the ability to fully interact with the data within
- All Programs left under Available Programs will be designated as View Access
Set Up View Access for Forms
The View Access Feature must be enabled
- Click Agency Admin from the system navigation bar
- Click Permissions
- From the list of tabs on the left, select which Role you wish to enable View Access for Programs
- Click the Forms toggle

- From the list of Available Forms on the left, click to select which you wish to Assign (grant full access to) for this Role
- Selected Forms will be moved under Assigned Forms and the Role will have the ability to fully interact with the data within
- All Forms left under Available Forms will be designated as View Access
