Navigators - The Basics
The Navigators tab enables Agency Admins to easily manage navigator records, whether it is changing a navigator's Role, updating the navigator's record status, or restricting navigators from accessing certain client records.
Restricting a navigator's access to specific clients records blocks the navigator from being able to search for, view, and interact with the client record. Restricted clients' information will not appear in Custom or Ad Hoc Report results run by the navigator.
Restricting a navigator's access to a client record can be done for a variety of reasons including, but not limited to:
- Maintain client privacy and HIPAA compliance should a navigator be related to or know the client in a personal capacity
- Avoid potential conflicts of interest
- Limit staff access to certain client records
Manage Navigator Role
A navigator's assigned Role can also be updated under the Permissions tab.
- Click Agency Admin from the system navigation bar
- Click Navigators
- Locate the navigator from the list below - use the Role filter tabs on the left to view only navigators assigned to a specific Role
- Under Group Role, click the drop-down list
- Select the desired Role
- System saves automatically
Manage Navigator Status
A navigator's record Status can also be updated within the navigator's record itself.
- Click Agency Admin from the system navigation bar
- Click Navigators
- Locate the navigator from the list below - use the Role filter tabs on the left to view only navigators assigned to a specific Role
- Under Status, click the drop-down list
- Select the desired Status - Active, Inactive, or Closed
- System saves automatically
Deactivate Navigator Account
When a staff member no longer needs access to their eLogic Genesis Account (they have left your organization or no longer use the system), Agency Admins must take the following steps:

Notify us that the staff member will no longer be using eLogic Genesis - notifying us is important so that we may document an additional licence is available for reassignment within your organization
- Please include the navigator's name and date of account deactivation
- If a new navigator is taking the previous navigator's licence, please also provide us with:
- The new navigator's first and last name
- Their work email address
- (If known) Which Role they should be assigned
- Click Agency Admin from the system navigation bar
- Click Navigators
- Locate the navigator from the list below - use the Role filter tabs on the left to view only navigators assigned to a specific Role
- Under Group Role, click the drop-down list
- Select [No Role Selected]
- Under Status, click the drop-down list
- Select either Inactive or Closed - There is no difference between the Inactive or Closed Statuses; which Status is selected is your organization's preference
- System saves automatically
Restrict Navigator Access to Specific Client Records
- Click Agency Admin from the system navigation bar
- Click Navigators
- Locate the navigator from the list below - use the Role filter tabs on the left to view only navigators assigned to a specific Role
- Click the
settings icon
- Under Navigator Access Management, enter the name of the client you wish this navigator be restricted from in the Search clients textfield
- Select client from drop-down
- Client is added to Clients current navigator cannot access list below
Remove Navigator Restriction from Specific Client Records
- Click Agency Admin from the system navigation bar
- Click Navigators
- Locate the navigator from the list below - use the Role filter tabs on the left to view only navigators assigned to a specific Role
- Click the
settings icon
- Under Navigator Access Management, locate the name of the client you wish the navigator's restriction be removed under Clients current navigator cannot access
- Click the
delete icon
- Navigator is able to access the client's record
FAQ
Can multiple navigators be assigned to a client?
- Yes, clients can have multiple navigators. All assigned navigators will receive client-related notifications.
