What do I do when a navigator leaves my organization/no longer needs access to eLogic Genesis?
When a staff member no longer needs access to their eLogic Genesis Account (they have left your organization or no longer use the system), Agency Admins must take the following steps:
- Locate, open, and delete the staff record
- the staff member's work in client records will remain intact
- their work will still appear in reports
- they will not be wiped from the system
- Deleting their record simply removes them from easy view and is retrievable by an eLogic Genesis staff member at any time
- Notify us that the staff member will no longer be using eLogic Genesis - notifying us is important so that we may document their licence is available for reassignment to another navigator within your organization
- Please include the navigator's name and date of account deactivation
- If a new navigator is taking the previous navigator's licence, please also provide us with:
- The new navigator's first and last name
- Their work email address
- Their start date
- (If known) Which Role they should be assigned
I need to reactivate a staff member's record. What do I do?
Please note that each active staff member is a software license. If your organization does not have any available licenses to reallocate to this reactivated staff member, you will be notified prior to reactivation as this will incur additional license fees.
If you wish to reactivate a staff member's record, please reach out to the eLogic Genesis team with their name for assistance.
What do I do when I need to add another navigator licence?
When you need to purchase an additional eLogic Genesis navigator licence, please reach out to the eLogic Genesis team with the following information to create their account:
- The new navigator's first and last name
- Their work email address
- Their start date
- (If known) Which Role they should be assigned
Can more than one navigator share a licence?
Sharing of user license credentials to access eLogic Genesis is considered a breach in security and is strictly prohibited. Multiple users accessing the same account violates our Terms and Conditions as well as the terms described in the Health Insurance Portability and Accountability Act.
Sharing of account information may inadvertently provide access to protected information by individuals not suited to view that information and create the opportunity for misuse of protected data.

How do I manage navigator eLogic Genesis records?
Navigator records are managed the same way as client records. Organizations can request their staff to input their personal information (address, phone number, emergency contacts) into their eLogic Genesis records.
