Interaction Log - The Basics
The Interaction Log enables navigators to "tally" every time they've interacted with a client. This information is available in the client record under Interaction Log and can be reported on across the entire organization via Custom Reports. This data can be useful for a variety of purposes including performance reports, documenting and logging proof of contacts, and logging hours spent with each client individually.
Please note that Standard Users can only edit Interactions they created while Agency Admins can edit any Interaction, regardless of who logged it. Interactions that you cannot edit have an eye econ, indicating it is view only.
What Does the Interaction Log Track?
Interaction Logs track the following:
- Total Interaction Count (how many times the client and any staff member interacted)
- Hours Logged (how many total hours have been documented interacting with the client)
- Who initiated the interaction (Initiator)
- Which staff member interacted with the client (Navigator)
- How the interaction was made (Interaction Type)
- When the interaction took place (Date of Interaction)
- The duration of the interaction (Hours)
- If there was an Intake Note created upon interaction creation (Note)
Intake Notes created via an Interaction Log entry are accessible in the client record underNotes in the left sidebar.
Interactions Log Page
The Interactions Log contains a filter bar and a table that displays all documented interactions.
Filter Bar
Across the top of the Interactions Log, you'll see a blue filter bar that contains different filters categories. Each category will expand and show different filter options when clicked. When each filter is selected or removed, the table below will display only interactions that match the filter options selected.
It may seem that some filter drop-downs display fewer options than they should. These are “smart” filters and are designed to display only options that are relevant to the interactions displayed in the table.
Once a filter option is selected, it can be removed by clicking the check box in the drop-down, clicking Clear all in the drop-down, or by clicking the grey rectangle shown under Selected Filters beneath the filter bar.
Filter Options
- Navigator - filter interactions that were created by specific navigators
- Initiator - filter interactions by who initiated the interaction
- Interaction Type - filter interactions by type
- Date of Interaction - filter for interactions that occurred within a date range
- Notes - filter for interactions that had an intake note created
Interactions Log Table and Column Headers
Easily sort interactions in client records by clicking the arrows next to each column header. The arrows will sort the table in ascending/descending order according to the data in the column.
View Interaction Log
- 1. Open client record
- 2. Click
Interactions from the left sidebar then click Interaction Log
Log a New Interaction
- 1. Open Client record
- 2. Click
Interactions from the left sidebar, then click New Interaction - screen overlay will appear
- 3. Fill in all relevant information and Save Interaction.
- 4. (Optional) Add Intake Note if necessary.
- Interactions saved with notes will show a
next to them, under the notes filter.
- Interactions are logged and appear in the Interactions Log table, sorted by Date of Interaction.
Edit an Interaction
- Please note that Standard Users can only edit Interactions they created while Agency Admins can edit any Interaction, regardless of who logged it. Interactions that you cannot edit have an

- 1. Open client record
- 2. Click
Interactions from the left sidebar then click Interaction Log
- Locate the interaction you wish to edit. Click the Initiator, Interaction Type, or Date of Interaction fields in the interaction row, make any relevant change, and Save Changes.
Delete an Interaction

Interactions from the left sidebar and click "Interaction Log"
- Locate and hover your mouse over the Interaction you wish to delete and click the
delete icon
- After the delete icon turns into a
redo icon, that is your verification that the interaction has been deleted and will disappear once you leave the page
- If you wish to undo the delete, click the
redo button

View Intake Notes Created From an Interaction
- 1. Open client record
- 2. Click
Notes from the left sidebar
- You may locate the note using note filters, word or phrase search, or note tag search.
Edit Intake Notes Created From an Interaction
- Intake noted created when logging an interaction must be edited via the Notes page. See Edit Saved Note for instructions.
Frequently Asked Questions (FAQ)
- Can interaction types be customized?
No, interaction types are fixed. For additional types, use the Other option and specify the type in the provided text field.
