Classes

Classes - The Basics
The Classes feature makes it possible to record registrants and take attendance using eLogic Genesis for any classes or trainings offered by your organization.
The Classes feature has three levels:
- Class - This is the overall course topic, i.e.: English as a Second Language, Nutritional Cooking.
- Period - This identifies the time period the class will run from start to finish, i.e.: Fall 2019, Spring 2020, Summer 2020
- Session - This identifies the individual dates and times registrants attend

Access to the Classes feature is determined through a specific Role Permission, which Agency Admins must grant to navigators.
The duties to create Classes are split between Agency Admins and Standard Users. Agency Admins must first create and set up Classes and identify the available Periods. Then, Standard Users are able to create single or recurring Sessions, add registrants to the Period, and take attendance for each session.
View Upcoming/Current Classes
- Click Classes from the system navigation bar
- All current classes are listed below
- TODAY'S CLASSES are listed on the left under the calendar
View Previous Classes
- Click Classes from the system navigation bar
- Click the Previous Classes toggle
- All previous classes are listed below
View Class Period Sessions
- Click Classes from the system navigation bar
- Locate the Class below
- Click the
edit icon - Under Class Periods, click to expand the Class Period box
- Click View Sessions
- Sessions are shown under Session List and display session:
- Date
- Start Time
- End Time
Add Recurring Sessions to Class Period
- Click Classes from the system navigation bar
- Locate the Class below
- Click the
edit icon - Under Class Periods, click to expand the Class Period box
- Click View Sessions
- Click Set Recurring Sessions - screen overlay will appear
- Select Session Frequency from the drop-down list
- Enter recurring session Start Date - what is the first day this recurring session occurs?
- Enter recurring session End Date - what is the last day this recurring session occurs?
- Enter Start Time and End Time
- Indicate which day(s) of the week the session recurs by checking the day's corresponding checkbox(es)
- Double-check your work!
- Click Create Sessions
- Sessions are added to Session List below
Add Single Session to Class Period
- Click Classes from the system navigation bar
- Locate the Class below
- Click the
edit icon - Under Class Periods, click to expand the Class Period box
- Click View Sessions
- In the grey Sessions: box (above the Set Recurring Sessions button), enter the single class period session's:
- Date
- Start Time
- End Time
- Click Add Session
- The session is added to Session List below
View/Add Registrants to Class Period
- Click Classes from the system navigation bar
- Locate the Class below
- Click the
edit icon - Under Class Periods, click to expand the Class Period box
- Click Add/View Registrants
- Under Registrant Name, enter the client name - matching client records will appear in the drop-down list
- Select the client name from the drop-down list
- The client is added to Registrant List below
- Repeat steps 6-7 as needed
Remove Registrant from Class Period
- Click Classes from the system navigation bar
- Locate the Class below
- Click the
edit icon - Under Class Periods, click to expand the Class Period box
- Click Add/View Registrants
- Under Registrant List, locate the name of the client you wish to remove
- Click the
delete icon - A confirmation message will appear across the top of the screen:
- Click Remove to remove registrant
- Click Cancel to keep the registrant
View Attendance for Session
- Click Classes from the system navigation bar
- Locate the Class below
- Click Attendance
- Table showing all registrants (rows) and each Session date (columns) is below
- Jump to Session Date using the drop-down list
- View five sessions at a time by clicking Previous 5 sessions or Next 5 sessions
Take Attendance for Session
- Click Classes from the system navigation bar
- Locate the Class below
- Click Attendance
- Table showing all registrants (rows) and each Session date (columns) is below
- Jump to Session Date using the drop-down list
- Click each cell to indicate that the registrant was
present on that date - leave the cell blank if the registrant was not present
Delete Session(s)
Use caution when deleting a past session. Any recorded attendance will also be deleted with the session.
- Click Classes from the system navigation bar
- Locate the Class below
- Click the
edit icon - Under Class Periods, click to expand the Class Period box
- Click View Sessions
- Under Session List, locate the session you wish to delete
- Click the
delete icon
Add Single Session to Class
Note: Adding a single session to a Class is different than adding a single session to a Class Period. A single Class session can be given a title and contains a different Registrant list than a Class Period. A single Class session could be an orientation or Q&A session and is not intended to be a regular, ongoing session.
- Click Classes from the system navigation bar
- Locate the Class below
- Click the
edit icon - Under Single Sessions, enter the:
- Session Name
- Date
- Start Time
- End Time
- Click Add Session
- The session will appear below in a collapsible box
View/Add Registrants to Single Class Session
Note: Adding registrants to a single Class session is different than adding registrants to a single session in a Class Period. A single Class session could be an orientation or Q&A session and is not intended to be a regular, ongoing session.
- Click Classes from the system navigation bar
- Locate the Class below
- Click the
edit icon - Under Single Sessions, locate the single class session box
- Click to expand
- Add/View Registrants
- Under Registrant Name, enter the client name - matching client records will appear in drop-down list
- Select the client name from the drop-down list
- The client is added to Registrant List below
- Repeat steps 7-8 as needed
Take Attendance for Single Class Session
Note: Taking attendance for a single Class session is different than taking attendance for Session. A single Class session could be an orientation or Q&A session with a different Registrant List.
- Click Classes from the system navigation bar
- Locate the Class below
- Click the
edit icon - Under Single Sessions, locate the single class session box
- Click Attendance
- Table showing all registrants (rows) and the Session date (column) is below
- Click each cell to indicate that the registrant was
present on that date - leave the cell blank if the registrant was not present
Run Class Attendance Report
- Click Classes from the system navigation bar
- Locate the Class below
- Click Report
- The attendance table is shown below
- Column headers show the date of session and number of registrants who attended that date
- View the entire Attendance history by scrolling the attendance table horizontally
- Select Report Dates by:
- Selecting a Start Date and End Date from the date drop-down menus, or
- Selecting a Defined Date Period from the drop-down list
Print Attendance
- Click Classes from the system navigation bar
- Locate the Class below
- Click Report
- Click
Print Report
