Client Types - The Basics
The Client Type Intake Field is a customizable status displaying how each client is categorized within the system. When running reports, these Client Types can be identified, accounted for, and used to measure data quality.
Client Types can be accessed and changed on a client's record via the drop-down list in the client information box located above the left sidebar.
Each organization must first customize the Client Type options available via Agency Admin under the Intake Fields tab or Inherit their parent group's Client Type options for them to become available in client records.
Client Types help organizations:
- determine appropriate referrals
- provide a basis of assigning clients to staff
- identify unmet needs and/or a lack of resources in the community
- caseload mix so the agency can better utilize existing resources or seek different or additional resources.
Classifying clients can make delivering services more efficient, help clarify intended outcomes, better allocate resources, and fairly determine caseloads. While there are many ways you might classify clients, the most useful of these is based on the need, type, frequency, and duration of services provided. It is important to know which clients benefit from which services and ideally resolution of the presenting need(s) using the least amount of the organization’s financial and human resources. Direct Service clients need less intervention compared to Case Management clients and knowing the difference makes for a more efficient and effective service delivery system.
Recommended Client Types for Community Action Agencies
Clients who have been identified as Direct Service or Case Management Clients must have all required Section C data entered in their case records.
Not everyone who visits your organization has the same needs. Some people seeking assistance may only need a single service or intervention to resolve their problem or need. These people may be characterized as Direct Service clients. Other persons present with more complex and multiple needs that can best be addressed by the active and ongoing intervention. These people may be characterized as Case Management clients. There are also persons seeking services that either do not qualify or are ineligible for services or the service is not available in the organization. These people may be characterized as Potential clients. If the client has been identified as a Potential Client, Section C data is not required.
Though Client Types can have many applications and uses for different types of organizations, we recommend that Community Action Agencies utilize the three following Client Types for accurate client diagnostic reporting.
(Agency Admin) Add Client Type Options
- Click Agency Admin from the system navigation bar
- Click Intake Fields
- Locate and click the Client Type tab from the tabs listed on the left
- In the text field, enter the name of the new Client Type
- Click Add New
- The option will appear below and be immediately available in client records
- Repeat steps 4-5 as needed
