Step 5. Create Client Intake Page(s)

Now that you've adjusted your staff members' role permissions to accommodate Client Portal features, it's time to create the intake page(s) clients will interact with when they access their eLogic Genesis records!

This article will guide you through understanding and setting up at least one intake tab in which clients can directly enter and update their personal information. Please note that some terms used for the Client Portal are defined in another article, Client Portal - Definitions of Terms Used.

Creating client intake page(s) in the Client Portal is a very similar process to creating intake pages for your staff members' roles. With the client intake page(s), you can:

• Create a single or multiple intake tabs which contain different data fields
• Incorporate the use of Custom Fields on the intake tabs
• Collect any additional client information that is not specific to your organization's programs

If in Step 2 or Step 3, you made at least one program Client Portal Eligible, it is critical that any data indicated as required is added to the client intake page(s). For example, if for your Agency Enrollment Program you set City, Household Size, and Military Status as required data, those three intake fields must be placed on a client intake page.

Before you begin, take note of all programs' required data to ensure these fields are included on your Client Portal intake page(s). When you're ready to begin, advance to Creating Your Client Intake Page(s) below to get started.

Creating Your Client Intake Page(s)

Clients can have access to more than one intake tab. All intake tabs will be accessible in the intake navigation bar and will be placed on the far left. It is common for organizations to have multiple tabs for multiple intake purposes (Intake, Housing, Military, Health, etc), however multiple tabs are not required.

Plan Your Client Portal Intake Page Setup

First consider what information would you like clients to have access to when using the Client Portal.

Are you interested in only individual demographic information? Perhaps you would like to collect information about the client's housing, as well? Do you have, or want to create, custom fields to collect any extraneous client information? 

Deciding what kind of client information you make available can help inform how many and what kinds of intake tabs you will create.

If you would like to categorize and have intake fields available under different tabs, you may do so. For example:

• "Demographics" tab: Basic, Information, Gender, Race, Ethnicity, Education Level, Work Status, Military Status, Referral Information, and Primary Language.
• "Housing" tab: Household Type, Household Size, Housing
• "Health" tab: Medical, Health Care, Disabilities

Alternatively, you can condense all intake fields under a single intake tab named simply, "Information" or "Intake".

IMPORTANT NOTE: Be sure that the intake fields available to clients are also accessible to your staff. Be sure to include the same intake and custom fields in each appropriate staff Role's intake page.

The Client Portal intake pages may be updated at any time! Updating intake fields will not affect any data that's been collected.

Set Up Client Intake Page(s)

Follow the steps below to create your Client Portal intake tabs. Remember to include all intake fields that have been set as Required Data for your organization's program applications!

1. Click Agency Admin from the system navigation bar
2. Click Client Portal
3. Click the Demographics toggle
4. Click Create Tab - a screen overlay will appear
5. Enter the Tab Name in the text field
6. Click Create
7. Tab box will appear in main screen
8. From the list of System or Custom intake fields to the left, locate the field you wish to add to the intake page
9. Click and drag the intake field to the named tab box - the "Basic" intake field contains client name and contact information, the "Information" intake field contains addresses, birth date, and social security number
10. Repeat steps 6 and 7 as needed for the initial tab - if you wish to create additional intake tabs, repeat steps 2-7
11. As you go or once all tabs and intake fields have been added, you can rearrange the order of each as desired by clicking and dragging the  handle of each element
12. When finished, click Save located to the right
