Family Management - The Basics
eLogic Genesis' Family feature is accessible in client records via the left sidebar.
Connecting client records to one or multiple family units in eLogic Genesis provides additional case management tools:
- Calculation of overall household Percentage of Poverty (available in the client record
Budget)
- The ability to copy certain demographic fields across multiple family records
- The ability to copy a singular finalized assessment across multiple family records (available in the client record
Assessments)
- The ability to run client-level reports for the entire household
- Identifying the number of Heads of Household and Individuals on organization-wide reports
- Easily navigate between family member records
- Services and Scale outcome selections can be applied to all family members upon service assignment or assessment finalization (Individual or Family Type set by Agency Admins)
View Household
- Open client record
- Click
Family from the left sidebar
- Click Manage Family
- All Families to which the client record is linked will be displayed as Family: Head of household name - family members can be in more than one household
Add Existing Family Member Record to Household
- Open client record
- Click
Family from the left sidebar
- Click Manage Family
- Click
Add Family Member - area ADD NEW FAMILY MEMBER will expand below
- Enter Member Name
- Client name will appear in list below - If member is already in the system, you must select them from the drop-drop down list. If member is not in the system, no drop-down will appear and new record must be created and added to family.
- Select client name - In cases where multiple clients have the same first and last name, you can find the desired client using the date of birth and address shown next to the name(s) in the drop-down list.
- Click Add Family Member
- Family member is added
Add New Family Member Record to Household
There are two ways to create a new client record and link them to a household member:
When creating a new record, it is important to check if the person has an existing record in the system. Though eLogic Genesis has a duplicate finder, any variation in name spelling will not be detected and a duplicate client record could be created. Please note that duplicate client records cannot be merged.
Via People Page
- Click People from the system navigation bar
- Click Create New Client
- Enter client First Name, Last Name
- Click the Add to existing family? checkbox
- Enter existing family member's name in text field
- Select the existing family member from the drop-down list
- Click Create Client
- Client record is created and linked to existing family member's record
Via Client Record → Manage Family
- Open client record
- Click
Family from the left sidebar
- Click Manage Family
- Click
Add Family Member - area ADD NEW FAMILY MEMBER will expand below
- Enter Member Name
- Click Add Family Member
- Client record is created and linked to existing family member's record
Transfer Family Member to Another Existing Household
- Open client record
- Click
Family from the left sidebar
- Click Manage Family
- Locate the family member you wish to transfer to another household
- Click the
settings icon
- Click Transfer Family Member - screen overlay will appear
- Enter New Head of Household under which to transfer client
- Click Select next to the head of household's name from the drop-down list
- Click Transfer
- Client is transferred to new head of household's family
Make Family Member Head of Their Own Household
- Open client record
- Click
Family from the left sidebar
- Click Manage Family
- Locate the family member you wish to transfer to another household
- Click the
settings icon
- Click Create new HoH
- Client is removed from previous family and made Head of their own Household
Jump Between Family Member Records
- Open client record
- Click
Family from the left sidebar
- If the client is in a family, a drop-down list will be available in sidebar
- Click the drop-down and select family member you wish to view
- Client record will be opened
Remove Client Record from Family
- Open client record
- Click
Family from the left sidebar
- Click Manage Family
- Locate the family member you wish to remove from household
- Click the
settings icon
- Click Remove from Family
Change Family Member's Relationship to HoH
- Open client record
- Click
Family from the left sidebar
- Click Manage Family
- Locate the family member you wish to change relationship to the HoH
- Click the Relation drop-down list
- Select the appropriate relationship
- System will save upon selection
Copy Demographic Data Across Family Members
- Open client record
- Click
Family from the left sidebar
- Click Manage Family
- Locate the family member you wish to copy demographics from
- Click the
settings icon
- Click Transfer Data to Family Members - a screen overlay will appear
- Select which family members you wish to copy demographics to
- Select which data you wish to transfer by clicking the corresponding checkboxes
- Click Transfer data
